Three Years Ago We Flew to Win Clients. Now We Work Through Screens
Back in 2022, I landed my first aluminum-plastic composite film deal with a South American client. Here's how it went: two weeks of email back-and-forth to nail down requirements, a 14-hour flight to São Paulo to discuss structure specs face-to-face, another week at his factory checking packaging machines and measuring roll core dimensions, then sample production, sample shipping, sample approval. From first contact to signed order — two full months.
Last month, a German client submitted an inquiry through our website hzvcwfoil.com for a food packaging composite film project. We responded with a structural recommendation and preliminary pricing within four hours. Next day, a video call to confirm the PET/AL/PE parameters. Day three, samples shipped. Twelve days later, he received the samples and gave approval. Day eighteen, proforma invoice signed, order confirmed.
Not a single flight. Not a single business trip. Everything handled online.
What Actually Changed in the Digital Shift?
Plenty of people think a supplier going "digital" means they have a slick website and live chat on the homepage. That's surface level. The real transformation happens three layers deep.
First layer: information transfer speed. In the old workflow, a client asks about a structure solution. We'd exchange three or four emails just confirming material specs, thickness, width, and end use. Then an internal meeting to discuss options. Then two more days to write up a formal quotation. A week turnaround was considered fast. Today? When a client submits an inquiry on our website, they've already filled in product type, target performance metrics, and estimated quantity. Our technical team pulls that data and matches it against historical solutions in our database. Within two to three hours, they receive a complete response — structure recommendation, physical property parameters, and pricing.
Second layer: sample approval workflow. Previously, confirming die-cut drawings meant fax. Confirming print proofs meant mailing physical copies. Confirming finished samples meant courier shipping. Every single step burned days. Now, clients upload print files online. We generate a digital proof within 24 hours, annotating CMYK values and Pantone references for each color zone. Client approves online. Meanwhile, physical samples get produced at the factory simultaneously — three to five working days to complete and ship. The entire sampling and approval cycle drops from two weeks to under one week.
Third layer: order tracking transparency. In the old model, after a client placed an order, they simply waited. Wondering about progress meant sending an email, which we'd forward to the workshop, wait for a reply, translate it, and send it back — another day or two gone. Today, through our ERP system, clients can check order status at any time: whether raw materials have arrived, whether printing is done, where lamination and curing stand, which roll is being slit, when the QC report will be ready. Information syncs in real time. Nobody needs to make another phone call.
Where Does AI Fit Into This Workflow?
Between 2025 and 2026, AI tools started embedding themselves into supplier-side operations. Not the gimmicky "AI chatbot" kind — the kind that actually adds value at technical decision points.
Here's one example. A client says they need to package nuts and extend shelf life to 18 months. The traditional approach: a technician recommends a structure based on experience. But an AI-assisted system can rapidly pull all comparable historical cases from the database, cross-reference the client's storage temperature, humidity conditions, and target OTR/WVTR specs, then recommend an optimal material combination with predictive performance data. It's not replacing human judgment. It's converting experience-based decisions into data-driven ones. Both accuracy and response speed jump up a level.
Another example: print file pre-checking. Client-submitted AI files used to come in with insufficient resolution, missing bleed, or wrong color mode. Someone had to check each file manually, then send feedback for corrections. Now, automated pre-flight checks scan files and push a complete issue list with fix recommendations to the client within 24 hours. That eliminates at least two rounds of manual back-and-forth.
VWIN's Online Collaboration System
VWIN has been systematically building out its digital workflow since 2023. Our online collaboration system now covers the full chain — from inquiry response and structure selection to digital proofing, sample shipping, production, and logistics tracking.
After a client submits requirements through our website or email, they receive a structured recommendation with physical property parameters and pricing within four hours. Digital proofs are generated within 24 hours. Physical samples complete in three to five working days. Production progress is trackable in real time through our ERP system. QC reports, compliance documents, and bill of lading information are all archived online and accessible on demand.
The direct result: average cycle time from first inquiry to order confirmation has dropped from 30-45 days down to 15-20 days. For repeat-order clients, since structure specs are already stored in the system, subsequent orders can be finalized in as little as seven days.
